How to Book a Yacht Charter

From First Enquiry to Embarkation Day

Booking a private crewed yacht is simpler than most people expect — no licence, no provisioning lists, no route planning. Your charter team handles the marine side; you make the choices. Here is the whole journey from first enquiry to stepping aboard, with realistic timings at every step.

Step 1 — Share Your Wishlist

Tell us three things: roughly when you want to sail, how many guests, and any must-haves (a specific region, water toys, child-friendly layout). Destination flexibility usually unlocks better availability and value.

Step 2 — Receive a Curated Shortlist

Within 24 hours you receive a selection of available yachts matching your brief — specifications, photos, crew profiles and weekly pricing. Shortlists are curated, not dumped: we filter out yachts whose layouts or crews do not fit your group.

Step 3 — Choose and Sign

Happy with one? We place a hold and send the charter agreement. Read it carefully: it lists your exact payment schedule, what is included, and cancellation terms — all of which vary by yacht, owner and charter agreement. Ask questions before signing; there is no rush on a well-organised booking.

Step 4 — Deposit and Balance

A deposit — typically 50% of the charter fee — secures your dates. The balance is usually due 6–8 weeks before embarkation. Exact amounts and deadlines are those stated in your charter agreement, and they vary by yacht and owner.

Step 5 — Preference Sheets and Planning

A few weeks out you complete a preference sheet: food, drinks, allergies, children's ages, activity wishes and rough route ideas. Your captain confirms the final route based on weather, and your chef builds menus around your sheet.

Step 6 — Embarkation Day

You arrive at the agreed marina (we coordinate transfers if you like), meet the crew, walk through the yacht, and set off. Most charters run Saturday-to-Saturday, though shorter and flexible itineraries are possible on many yachts.

How far in advance should I book?

For peak summer months, 6–12 months gives the best choice of yacht. Shoulder-season charters can often be arranged 2–4 months out, and last-minute options sometimes appear at reduced rates.

When is payment due?

Typically 50% on signing and the balance 6–8 weeks before departure — but exact schedules vary by yacht, owner and charter agreement, and the binding schedule is always the one in your agreement.

Can I change my dates after booking?

Date changes are at the owner's discretion and depend on the yacht's other bookings. It is one of the terms worth discussing before you sign.

What about flights and transfers?

Flights are yours to book; we advise on the nearest airport and timing against your embarkation port, and can arrange marina transfers.
